Refund & Cancellation Policy

1. Nature of our services

All of our services are custom and bespoke. This includes custom software development, workflow automation, AI systems, enterprise applications, internal tools and consultancy. Work is tailored to your specific requirements and cannot be resold to anyone else once produced.

2. All sales final once development begins

Because our work is bespoke and performed specifically for you, all sales are final once development work has begun. Once we have started work on your project — for example, after discovery, design, or any development has commenced — the agreed fees are non-refundable, except as set out in the milestone clause below or where we are in breach of our obligations.

This policy reflects the fact that custom engineering labour cannot be returned, reversed or resold.

3. Milestone clause — cancellation part-way through a project

If a project is cancelled part-way through, you will be billed only for the specific development milestones completed up to the date of cancellation, plus any agreed non-refundable deposit or setup fees.

• You only pay for the milestones that have been delivered and accepted, or the developer hours verifiably attributable to your project up to the cancellation date.
• Unstarted or incomplete future milestones are not billed.
• Any work that has already been performed up to the cancellation date is payable, since it was performed specifically for your project.
• Refunds are not provided for completed milestones or for work in progress at the date of cancellation.

4. Cancellation before work begins

If you cancel before we have commenced any billable work and before any deposit is due, no fees are payable. If a deposit has been agreed and work has not yet begun, we will refund the deposit in full, unless specific setup costs have already been incurred, in which case we will refund the balance after deducting those costs.

5. How to request a cancellation

Cancellation requests must be made in writing by email to our official contact address. The effective date of cancellation is the date we receive your written notice.

• Where applicable, we will issue a final invoice for completed milestones, payable in accordance with our standard payment terms.

6. Defects and quality issues

If a delivered milestone contains defects that are our responsibility, we will correct them at no additional cost as part of our standard delivery process. Our liability for any defects is governed by the Terms of Service and does not extend to a refund for completed, accepted work.

7. Subscription or retainer services

Monthly retainers may be cancelled with written notice at least 30 days before the next billing cycle. You will be billed for the current period through to the cancellation effective date, and no further charges will be made after that date.

8. Chargebacks and disputes

We ask that you contact us before raising a chargeback or payment dispute, so we can resolve any issue directly. Chargebacks raised without first contacting us may result in the suspension of services pending resolution.
